Position Summary

This exciting role requires superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is important. The successful candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture.

Essential Functions

  • Manage executives’ calendars and set up meetings
  • Make travel and accommodation arrangements
  • Report daily expenses and prepare weekly, monthly or quarterly reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Plan offsite meetings for the greater OETC staff
  • Plan and organize Board of Directors meetings
  • Act as the point of contact among executives, employees, clients and other external partners
  • Work with suppliers to provide price and product updates to strategic customers managed by the CEO

Minimum Qualifications

  • 5+ years experience in an administrative/executive support role or similar role.
  • Outstanding organizational and time management skills
  • Must be proficient in office software and ability to learn other enterprise software
  • An academic background (Bachelor’s degree or equivalent preferred) from an accredited college or university with an emphasis in business administration, or a related field and a solid background in customer service and office support principles of a small business.

In 1983, a group of innovative Oregon educators founded OETC as a way to manage the purchase of computers and software. Since then, OETC has grown to represent the needs of over 1,000 schools, districts, universities, and libraries across the country. We now manage $50 million in sales with a nearly $2 million budget. OETC harnesses our memberships’ collective purchasing power to organize cooperative purchases through competitive bidding processes.

We pay a competitive base salary, offer up to a 10% annual bonus, and include generous benefits. We handle all of our training and employee onboarding at our office in downtown Salem. After your training is complete, you are welcome to work there everyday, but we also offer telecommute options for those living in Portland or other outlying metro areas to help avoid commutes.
